Add and edit document profile properties in the backward-compatible document library

Properties are specific fields on the document profile in which authors enter descriptive information (metadata) about their documents. Examples of profile properties are author and title.

Add a document profile property

  1. Open the Web folder for the backward-compatible document library.
  2. Open the Management folder, and then open the Document Profiles folder.
  3. Right-click the document profile with which you want to work, and then click Properties.
  4. Click the Properties tab, and then click Select Properties.
    • If you select a property from the list provided, skip to step 6 in this procedure.
    • If you do not see the property you want, you can create a property by clicking New.
  5. Type a unique name for the new property in the space provided.
  6. Select the type of property that you want to create such as Text, Number, List, or Comment Box.
    • If you create a List property, click Values to specify the values for the list. These values apply to this property in all profiles.
    • If you want to allow users to enter values not included in the list, select the Allow users to enter values not in the list check box. If you select this option, note that the values that a user enters in this case appear only once, in the individual profile of the document with which the user works. The values that the user enters are not available for other users of that profile to select.
    • If you want to allow users to select multiple values from the list when they fill out the document profile, select the Allow users to select multiple values check box.
    • If you want to make the property required, select the Require users to enter a value for this property check box.
  7. Click OK twice.

Note  The properties you create are available to all document profiles.

Edit profile property attributes

  1. Open the Web folder for the backward-compatible document library.
  2. Open the Management folder, and then open the Document Profiles folder.
  3. Right-click the document profile with which you want to work, and then click Properties.
  4. Click the Properties tab.
  5. Select the property that you want to edit.
  6. Click Edit.
  7. To edit the document profile description, make the necessary changes in the Description box.

    Do one of the following:

    • To ensure that users enter a value, select the Require users to enter a value for this property check box.
    • To edit values for a List property, click Edit Values, and then make the necessary changes.

  8. Click OK twice.

Caution  If you change or rename a property, the change you make affects how the property appears on all document profiles. However, documents published with the original property are not automatically updated until they are republished.

Microsoft Office SharePoint Portal Server 2003 modifies the document profile to include the new property.
